Human Resources (HR) is pleased to announce that staff provisional evaluations can now be completed electronically. Provisional periods are the 180-day “probationary periods” of new employees hired into full-time regular, benefits-eligible positions. This will simplify and streamline the process for both supervisors and employees.
Key information
- The staff provisional evaluation form will closely mirror the annual evaluation form, except for goals.
- HR will create electronic evaluations for all full-time staff hired between Jan. 1 and June 30 by July 30, 2025.
- For employees hired after July 1, electronic evaluations will be created by the 15th of the following month. For example, evaluations for employees hired in July will be created by Aug. 15.
- Paper evaluations already submitted to HR for employees hired after Jan. 1, 2025, will be accepted – no electronic evaluation is required in these cases.
- Supervisors will receive a system-generated notification when an electronic evaluation has been created for their employee.
- Additionally, HR will email supervisors with the provisional evaluation due date.
Provisional evaluation process
- The supervisor initiates the process by approving the defined criteria.
- Employee completes their self-evaluation.
- The supervisor completes the evaluation and shares it with the employee.
- The supervisor and employee meet to discuss the evaluation.
- Supervisor requests employee acknowledgement.
- Employee acknowledges the evaluation.
- Supervisor finalizes the process by clicking “Submit for approval.”
Important reminder
If an employee does not successfully complete their provisional period, supervisors should contact HR promptly for guidance, no later than one month before the end of the provisional period.
