INTERNAL NOTES: This page format could be adopted for all audiences with prominently placed planning steps (and resource links), engaging images and promotional opportunities for services. The following section is an overview of the event planning process and includes links to associated tasks or resources. Ideally, wherever possible, resource links can be placed where most relevant. For instance, "Heritage Guidelines" would be added or linked from the Heritage overview page.

Event Planning Timeline and Checklist
15 Weeks Prior (3.5 months)
Determine your target audience for the
event?
- What are your key messages?
- What do you hope to accomplish?
- How will you gauge effectiveness?
- How does this event align with the [Institutional Goals]?
Ensure hosts, leadership, VIPs, and/or
speakers are available for specified event
dates.
• Check availability of support resources as
they are limited. Ensure that resources are
available before planning the specifics of
your event. There may be periods of the
year when support resources may be
extremely limited due to high profile events
such as commencement, nursing pinning
ceremony or annual galas.
• Set dates and times, avoiding holidays and
other major campus events. Check the
following calendars to help avoid conflict:
o [GGC academic calendar]
o [GGC holiday schedule]
