Information Technology (IT) establishes standards for computers, cellular devices and services, endpoints, and peripherals to ensure compatibility with supported operating systems and endpoint management services. These standards support the implementation of required cybersecurity controls, enable automated operating system and software updates, and allow for centralized software deployment across the institution. Establishing technology standards also supports responsible budget planning and helps ensure consistent, secure, and efficient use of technology resources across the college. IT provides computers for eligible full-time employees, general classrooms, computer classrooms, and event spaces through the lifecycle replacement (LCR) program, as funding allows.

Peripheral devices such as printers, docking stations, and monitors quotes may be requested through the peripheral quote request form.

IT Standards

Computer standards are designed to support consistent, secure, and effective technology use across the college. Information Technology prioritizes support for computers compatible with the Windows operating system, with Windows‑capable laptops preferred for employees and Windows‑capable all‑in‑one computers prioritized for classrooms, open computer labs, event spaces, and approved business needs. Laptops or all‑in‑one computers capable of running macOS may be provided when supported by an approved and documented business justification.

Computer Availability

Computers for Full-time Employees

Eligible full-time employees are provided a standard computer through the Lifecycle Refresh (LCR) program.

Participation in the LCR program ensures that GGC-owned computers remain compatible with required software, cybersecurity protections, and operating system updates, while also supporting responsible budget planning.

IT prioritizes issuing a new computer when possible; however, previously assigned devices may be provided based on available inventory and budget.  

Computers for Part-Time Employees

IT provides computers for part-time employees from available inventory. If inventory is not available, budget managers may need to assist with identifying funding. Part-time employee computers are managed outside of the LCR program. Supervisors may request a standard computer quote for part-time employees.

Computers for Student Assistants

Student assistants are not eligible for computers through the LCR program due to the temporary and role-based nature of their assignments.

Supervisors or budget managers are responsible for funding computers used by student assistants. IT recommends All-in-One computers for student assistant use. Supervisors or budget managers may request a student assistant computer quote.

Special Purpose Computers

IT may facilitate the purchase, implementation, and support for special purpose computers that differ from established IT standards to support the business needs of the college. A special purpose computer may have different specifications (CPU, memory, graphics, etc.) to support software or computing requirements than what is included with the standard computer.

Initiate a  acquisitions consultation to discuss business needs and funding requirements.

Peripheral Standards

IT provides a range of standard peripherals to support productivity, collaboration, and ergonomic needs.

Available Options Include:

  • Webcams for video meetings and remote collaboration
  • Wireless keyboards and mice, including ergonomic models for comfort
  • USB‑C hub adapters and Thunderbolt docking stations for connecting additional devices and monitors
  • USB‑C power adapters for supported laptops

Additional Equipment (By Request)

Departments may also request:

  • Laser printers for document printing
  • Wacom Intuos tablets for creative and instructional work
  • IPEVO document cameras for presentations and demonstrations
  • Laptop and desktop locks for added security in shared or public spaces

Cellular Devices and Services

GGC issued cellular devices are Apple iPhone (iOS) devices operating on the college’s Verizon business account. IT provides approved iPhone models available through the Verizon program. iPhone models outside of the approved list are not available for purchase or upgrade through the GGC cellular program. Cellular hot spots require approved business justification. Devices other than cellular phones that require cellular service require an IT consultation and approval. All GGC-issued cellular phones are IT-managed devices.

Requesting Cellular Devices or Services

Employees who require a cellular device or cellular service to support business needs must have their supervisor submit the cellular request form on their behalf.

Requests are reviewed in alignment with APM 8.2.86 and applicable approval and funding requirements. Once approved, IT will coordinate device provisioning, service activation, and ongoing support.

Annual Re-authorization

APM 8.2.86 requires IT to conduct annual reviews of cellular usage. Employees that use their GGC provided cell phone 20 minutes or less for 5 or more consecutive months will be required to return their device. Supervisors will be notified of any employees who are subject to cell phone returns during the annual re-authorization period.

International Service for Business Travel

Employees traveling internationally for approved business purposes may request international cellular service only on GGC managed mobile devices. International calling or data plans cannot be added to personal phones.

If an employee does not have a GGC managed phone, a temporary device may be issued. IT maintains a limited number of devices that may be checked out and provisioned with an approved international service plan based on business need, travel details, and device availability.

Additional requirements

  • Requests must be submitted at least 14 business days prior to travel dates.
  • Checked-out devices must be returned within 5 business days after travel concludes.
  • Supervisor or Internationalization approval is required.

Frequently Asked Questions

Employees may submit an LCR inquiry to confirm eligibility or ask questions related to their refresh timeline. 

No. External monitors and docking stations are not included as part of the LCR program. IT can provide vetted monitor and docking station options, along with recommendations, quotes, and assistance with setup. Budget managers are responsible for securing funding sources.

The LCR program supports assignment of one computer per employee. Requests for a second computer must include a business justification and are reviewed under established governance. Budget Manager will be required to identify funding. This also applies to requests related to grants. Budget Managers should plan for a 4-year lifecycle replacement for computers that are not part of the LCR program.

IT prioritizes laptops for employee use. Requests to switch device types must include a business justification and are viewed under established governance and funding availability.

The LCR program provides computers that meet IT standards and configuration requirements. Requests for non-standard devices must include a business justification and are reviewed under established governance. Budget Manager will be required to identify funding. Budget Managers should be aware that choosing a non-standard device may have future budget implications when the computer enters the 4-year lifecycle replacement cycle.

Yes. Full Time employees are required to pick up their replacement computer within 20 business days of notification.

Participation ensures that:

  • Devices remain supported and secure 
  • Required operating system and software updates can be applied 
  • IT can effectively manage lifecycle planning and budgets

Employees should bring the device to the Help Desk or submit a ticket. IT will evaluate the device and may recommend one of the following:

  • A loaner computer while repairs are completed (when under warranty) 
  • Replacement with a new LCR computer 
  • Replacement based on available funding

Devices damaged due to misuse may require replacement funded by the employee’s budget manager. Additional details are available in APM 11.91 Lost, Stolen, Damaged Equipment

IT will provide a replacement charger at no cost if the charger stops functioning due to normal use. Lost or damaged chargers will require funding from your unit’s budget. Chargers should be brought to the Help Desk or a ticket may be submitted for evaluation. 

Employees must return their assigned computer and charger no later than their last day of employment. Any additional IT assets must also be returned. Supervisors are responsible for ensuring employees return computers and IT assets to the Help Desk.
