Event Support Availability

Information Technology accommodates event technology requests based on staff and technology availability. To ensure that your event technology needs can be met, reserve your space and request your technology as far in advance as possible. IT suggests a minimum of a 10-business day lead time for all event technology requests.

Once submitting a support request, please allow a minimum of 5 business days for Information Technology to confirm availability. Other days and times may be available with approval. 

General Event Support Hours

  • Monday-Thursday 8:00 a.m - 5:00 p.m.
  • Friday 8:00 a.m. - 4:30 p.m.

Planning an Event?

Event technology supports events held in indoor and outdoor campus locations, as well as virtual events. All events require that a space or location be reserved in advance, along with submitting requests for any needed technology and facilities setup. Coordinating these details ahead of time helps ensure the appropriate equipment and support are in place for a successful event. Below is an quick guide to making sure your event is successful.

Using the event space descriptions below, identify your event’s capacity requirements, technology needs, and accessibility considerations to ensure the space supports your planned activities.

Reserve the Event Space

Event spaces and locations must be reserved prior to requesting support for event technology. 

All event technology requests must be submitted by a GGC employee or an officer of a registered student organization (RSO).

Request a Technology Consultation

A walk‑through or technology consultation is required to ensure event hosts have the appropriate equipment, understand how to use the available technology, and determine whether on‑site event technology support is needed.

In some cases, a rehearsal is strongly recommended to help ensure the event runs smoothly and to address any technical needs in advance.

Event Space Types

Classrooms

Locations: Some classrooms may be used for events.

  • Events that are held in classrooms use the standard classroom technology.
  • No on-site support staff is provided for classroom events.

Virtual

Locations: Virtually

  • Microsoft Teams and Zoom support interactive features such as chat and Q&A.
  • Information Technology does not provide moderation services.
  • Some event spaces offer live‑streaming options, which allow remote viewing but do not support interaction with the presenter or other attendees.
  • Requests for live streaming must be indicated in the space request form.

Outdoor

Locations: Outdoors (on lawn or other community areas)

  • Technology support for outdoor events is limited.
  • IT provides a limited selection of audio‑visual equipment suitable for outdoor use.
  • Event hosts planning an outdoor event are required to request a consultation with event technology staff to review technology needs and available options.

Indoor

Location: Inside several venue locations listed below

  • Requires a specific venue to be indicated
  • Requires a technology consultation

Indoor Venues

Location: B–1000

  • Features dual wall displays and in-house audio system. 

Location: Student Center, E-2112

  • Features multiple in-house projectors, screens, stage lighting, and audiovisual features.  
  • The space can be divided into smaller sections. 

Location: Kaufman Library L-3138  

  • Features dual projection and in-house audio system  
  • The space includes a private kitchen, pre-function area, and balcony. 

Location: C-1260  

  • Features projection, special stage lighting, in-house audio system.  
  • The space includes fixed theater style seating. 

Location: Student Center E-1111  

  • Features dual projection and in-house audio system  
  • The space includes an option for a private entrance and can be divided into smaller sections. 

Location:  W-1201  

  • Features four screen video wall, audio system  
  • The space can serve as a pre-function area for the Stephens Executive Forum.    
  • The space can be used for live performances 

Location: W-1210  

  • Features video wall, projection, audio/video conferencing, in-house audio system  
  • The space features lecture style seating with curved tables. 

Location: B-building first floor  

  • Portable display, wireless and wired microphones  
  • The space can be configured as a theater or banquet. A Stage and/or podium is also available.
